When it's that time of year and you're preparing for the company Christmas party there are a few things you can do to make the process flow more smoothly. Here are some things you want to do in order to make things mother along smoother.
1. Begin planning early enough in the season so that you don't have to rush around at the last minute.
2. Make a list of everything you need and cross off each thing as you complete it. Even if you are distributing duties to different people keep the main list and ask everyone to let you know as they finish. Planning a Christmas party can be stressful, so you want to make sure you can keep a running tally of what has already been completed and what needs completed.
3. Provide each person who is helping with ideas where to find the things they need. You don't need to do the shopping for them but just be a helpful resource.
4. Be prepared for emergencies such as someone getting sick or having an emergency when they were supposed to be helping. Always have a back up plan in case of an emergency.
5. Each person who is part of the Christmas Party planning committee should fully understand his or her job. Make sure you are always on hand in case there are any questions or points you need to clarify.
6. Schedule regular meetings with your committee. You can use these meetings to check progress as well as answer any questions that anyone may have. You can start out with monthly meetings and schedule them more frequently as it gets closer to the date of your Christmas party.
7. If the party of off-site make sure everyone knows where the venue is and will be able to direct others if the need arises. Encourage your committee to do a trial run to the venue so that they will not be late when it's time for the party.
8. Assign your committee jobs even during the pre-planning stage. Each person can be responsible for checking prices for various things that are necessary when planning a Christmas party. Perhaps one person can price venues, another can price decorations and the others can divide the food items.
9. Before you begin planning the party, make a decision about budget. Will the employees share the cost or will there be a budget to support the entire party? If so, what is achievable within that budget?
10. Decide what kind of entertainment you want to have. This is something that should be voted upon by the committee as well as the employees of the company and suitable for all employees.
