There is a point in any process or procedure when someone should consider how it works. Someone needs to put together the process and someone has to design the procedure so that everyone else knows exactly how it works and what steps to take to successfully complete the process. But there is also a point when the process and procedures may be outdated or obsolete. Perhaps it is not as effective as it once was because the nature of business has changed.
Maybe the business has gotten bigger and more popular and as demand increases getting things done quickly becomes a priority, no matter what the consequences, but the processes and procedures have not been updated. They most likely have been changed a little but, in order to handle the higher volumes, and perhaps a few shortcuts were taken. Time seems to be the determining factor, and people often say they do not have time to fix their processes, to make them better. But this is a problem in itself, if something needs to be corrected then you have to find time to solve the problem.
You can not simply maintain the status quo, and hope your existing processes are good enough to get you through, because eventually they will not be, and then it is going to be a lot worse than it would have been if you had updated your processes when you first needed to. How will you have time to update them when they start failing you, if you did not have enough time to do it right in the first place? It seems there is always time to correct a mistake that was caused by not having enough time to address it well in advance.
You have to be willing to look at what isn't working and have the wherewithal to find a solution to the problem. Sometimes it is right in front of you, but other times you have to search for the solution and you may even need help in the process. What works and doesn't work? What doesn't work anymore and how can you make the process more efficient?
What you are doing is ultimately trying to save money by making your processes more efficient. You need to spend less on materials, but how? Simple, you need to use less material in whatever it is you're doing. But does this means compromising what you are giving the customer and producing an inferior product?
